Identifying Respondents in a Data Set using Respondent Pools
This page describes a method for using respondent pools to identify responses for a particular respondent to a survey. For example, one might use an ID number for each respondent to track responses over a set of surveys to the same respondents.
In the example shown below the survey is given to new incoming graduate students. The students will be given a set of surveys during their graduate career at the university. The ID will be used to track how the student attitudes may change as they move through a graduate career.

- Create the survey for incoming graduate students in Skylight.
- Obtain a list of student ID numbers and names of the respondents as an Excel spreadsheet. IDs will identify the respondent and the name will be used to personalize the email to respondents.
- Once the survey is finalized, you are ready to create one "test" respondent pool. This test pool will be used to create an Excel template that will later be the template to upload the respondent list to Skylight and create all the pools for each individual respondent.
Creating the respondent pool
- First select your survey from the survey list and choose respondents from the menu as shown in the image below.
- Next click the create button to create the test respondent pool as shown in the image below.
- Enter a name and description for the respondent pool. Enter the start and stop dates for the survey and then choose the delivery type "email personal URL" from the drop down selection. Look to the far right corner and click the "create" button to create the pool.
- After you create the pool, you need to go back and edit the respondent pool to add the metadata for the particular respondent. In the example below we are naming the pool to the student ID number so we can track that respondent. We will also add the metadata of first and last name of the respondent on the pool screen, in this example John Doe. Finally we will need to add the respondent email address, john_doe@something.edu.
- Below the metadata tab, enter the name of the field, first name, and then enter the value for the first name, John. Then click the add button. Repeat the same for last name, Doe. Click the add button to add last name.
- Now we need to add the email. Click the tab Respondents. Click the add button. This pops up a new window wher you type in the email address. In this example we only enter this particular respondents email, john_doe@something.edu. Then click OK to close that window.
- Then be sure to click 'Save' on the main screen to save the metadata and the respondent email. The save will take you out of the edit mode and back to the respondent pool list.
- You will now see the name of your pool and you are ready to export the pool data to excel to prepare the spreadsheet you will later use to import the respondent identification data to skylight. Click in the checkbox next to the 123456789 Respondent Pool to select this pool to export. Then click the export button as shown below.
Exporting the respondent pool
- Next export the pool following the method and explanation shown on this wiki page. ( Says "export" but goes to the "import" page) The respondent pool Excel file must follow a specific fixed format to be uploaded back to Skylight. Do not delete any of the columns in the spreadsheet as the import will expect them to be present.
