General Survey Delivery Modes

Single Public URL

There is one URL for the survey, which is used by all respondents. Respondents can take the survey multiple times. There is also no maximum number of respondents for this delivery type. Use this if you are looking for simple way to distribute the survey URL to an audience that might be unknown in advance. (See also Testing a Survey.)

Email Personal URL

Users are given a unique URL and the survey can only be completed once using that URL. The URL is delivered by email to an address uploaded per respondent to the respondent pool. Security of this delivery method depends on the security of the respondent's email box. A more secure delivery mode is Unique URL & PIN (below).

Follow this procedure to Load Respondent Email into a pool for Email delivery

This method of delivery also allows the possibility of uploading respondent metadata. (not yet functional 2/27/08). During reporting, the respondent's identity is anonymized, but the other respondent metadata is passed through to the report on a respondent-by-respondent basis. (See also Testing a Survey.)

WSU-specific Delivery Modes

WSU Login Required

Applies only to Washington State University (or other institution that would host the software). "AD" = "Active Directory." Similar to Single URL method above, but restricts the pool of respondents to those who can authenticate (Auth). Uses Microsoft Active Directory for authentication. (See also Testing a Survey.)

WSU Group Member

Applies only to Washington State University (or other institution that would host the software). "AD" = "Active Directory." Like the Single URL methods above, there is one URL for the survey, but unlike those methods, the survey can only be taken once by each individual in the authorization group. A respondent pool can have multiple AD groups for authorization, and the result is the union of all those groups. Uses Microsoft Active Directory for authentication and Active Directory group membership for authorization. (See also Testing a Survey.)

Other Delivery Modes (not implemented)

Email Personal URL with PIN

(Not Implemented Nov 08) Similar to Email Personal URL. A Personal ID Number (PIN) is assigned by the administrator of the survey for each respondent. This is done manually inside of the Respondent Pool Info Keys inside of the survey metadata page. It can also be done in batch by uploading a respondent pool. An example PIN would be the Student ID for each respondent. This delivery mode provides two factor security, the respondent's email box and the PIN. (See also Testing a Survey.)

Unique URL Ticket List

(Not Implemented Nov 08) Similar to Email Personal URL. Rather than the survey system delivering the URLs, the system provides a list of "tickets" to be distributed by a 3rd party mechanism. "Tickets" are Unique URLs, the differences are:

  1. The URL must be delivered by some alternate mechanism.
  2. No metadata can be associated with the ticket URL.

Things to consider

Extra Credit

If you want to know which respondents completed a survey (eg for extra credit or prize drawing), each of these delivery methods will provide a list of respondents that completed the survey (while maintaining anonynmity of the respondent's answers):

  • WSU Login Required
  • WSU Group Member
  • Email Personal URL
  • Email Personal URL with PIN (not implemented)

Sending Reminders to Respondents

Reminders to respondents who have not completed the survey can only be sent when using these deliver methods:

  • Email Unique URL for each Respondent
  • Unique URL for each Respondent with PIN

Metadata Issues

No metadata can be associated with respondents when using the following delivery methods. (Other modes individually target respondents and can have individual respondent metadata.):

  • Single Public URL
  • WSU Login Required
  • WSU Group Member
  • Unique URL Ticket List

Reporting Issues

Selecting the correct delivery mode

Use the following to help determine which delivery mode you should use.

NOTE: Each Respondent Pool has its own delivery mode, you may have one or more Respondent Pools with varying delivery modes.


I’d like the system to send the link to all the students enrolled in a class.

  • Email Personal URL

I’d like the system to send a followup reminder only to those who haven’t responded.

  • Email Personal URL

I’d like to post a link to the survey in a Learning Mangement System, Sharepoint, or elsewhere.

  • Single Public URL
  • WSU Login Required
  • WSU Group Member

I’d like to send a survey to lots of people outside WSU.

  • Single Public URL (one URL mailed by some other means outside the system)
  • Email Personal URL

I’d like the person I’m sending the survey to to be able to forward the link the someone else to take the survey.

  • Single Public URL
  • WSU Login Required (only if next respondent has a WSU NID or FID)
  • WSU Group Member (only if next respondent has a WSU NID or FID)

I’d like to send the survey to the same person as a pretest and post-test.

  • Use two respondent pools in one survey, with any delivery mode. If you want to track a specific individual in the pre- and post-test, you need to ask the respondent for some identifying information in the body of the survey (otherwise responses will be anonymous).

I want to send an email to respondents later when I deliver the survey.

I have email addresses for the respondents, or could easily get them.

I want respondents to have to log in.

  • Email Personal URL (respondent logs into their email account, finds link that can be used only one time)
  • WSU Login Required (respondent must have a WSU NID or FID)
  • WSU Group Member (respondent must have a WSU NID or FID)

I don’t’ care if someone can take the survey multiple times (don’t think they’ll want to).

  • Single Public URL

I have a couple people who aren’t enrolled in my class (ex, auditors) who I’d like to take the survey too.

    • Single Public URL (create a separate respondent pool just for these people, use one of the other modes for the others)
